Getting started with LegacySteps
Five steps, about fifteen minutes the first time. After that, setting a family up takes seconds.
Go to www.legacysteps.ie and press Sign in. Type your funeral home's number and press Continue. Tap your name, or Main office. A six-digit code is emailed to the funeral home's email address; type it in and the dashboard opens. There is no password, and the page remembers your number on that computer.
Check your details
Press Your team. Check the name, phone number and address families will see, and upload your logo. Add your bank details (account name, IBAN and BIC) so requests to the family's bank say where to pay you, and, in Ireland, your local Community Welfare Service email for Additional Needs Payment follow-ups.
Add your colleagues
Still on Your team, under Who can sign in, type each colleague's first name and press Add. They sign in with the same number and tap their name. Remove a name the day someone leaves. Everything a person does is recorded against their name.
Set up your first family
The usual way: when you email the family their funeral account, add your LegacySteps address (it is on the Set up a family tab) in BCC. We read the invoice, set the family up and invite them in your name, usually within the hour. Nothing else to do.
Other ways, if the moment suits:
- At the desk: press Family is here and talk through the arrangement as normal. The form fills in and the death notice is drafted; check anything marked in orange. Then press Family agrees on their own phone and the family member scans the code, reads the agreement and ticks it on their phone. If they have no phone with them, turn your screen to them instead.
- At the end of the day: on the Set up a family tab, under Add several families at once, type or press Dictate the families and read out each family's name, date of death and the family member's email and mobile. Check the rows, then press Send the invitations. The family agrees on their own screen.
- Or let them start: give the family your number. They enter it at www.legacysteps.ie/families.
Then leave it to run
The family is invited in your name by email and text. Letters go out, replies come back into their case, and organisations that do not reply are chased every week. You see each family's progress on the Families tab and get an email only if a family stalls. Every payment request is on the Getting paid tab; press Paid in full when the money lands. To be paid sooner, press Open beside the family and attach your invoice. The family lists where the money is and gives their authority from their own case once they have found the paperwork, and you are emailed when the requests go; you can also do it with them under Who pays.
Stuck? Press Ask a question at the top of any page, type or say the question, and the answer appears in seconds. Anything it cannot answer goes to the LegacySteps team. Show me around gives a guided tour of the three tabs.
